Privacy Policy

1. The short version

We collect the minimum we need to run a verified alumni network. We do not sell your data, we do not run advertising on this platform, and we do not share your contact details outside the verified membership.

You can see, correct, export or delete your data at any time. This section is the summary; the detail follows.

2. What we collect

We collect three kinds of information:

• Information you give us — name, email address, graduating year, institution, employer, city, skills, and anything else you choose to add to your profile
• Information created by using the platform — mentorship requests, event registrations, group memberships, posts and donations
• Technical information — IP address, browser type and pages visited, used for security and aggregate analytics only

3. What we use it for

Your data is used to:

• Verify that you are who you say you are, and place you in the correct batch
• Show your profile to other verified members in the directory and yearbook
• Match you with mentors, and mentors with mentees
• Send transactional email — verification, event confirmations, donation receipts
• Send the monthly newsletter, if and only if you have opted in
• Produce aggregate, anonymised statistics about the network

4. Who can see your profile

Your profile is visible only to signed-in, verified members. It is not indexed by search engines and is not visible to the public web.

You control which fields appear. Email address, phone number and employer can each be hidden independently from your account settings.

Foundation staff can see your full record in order to provide support and to investigate reports of misconduct. Access is logged.

5. Who we share it with

We do not sell personal data, and we do not share it with advertisers.

We share limited data with processors who help us operate the platform — an email delivery provider, a payment gateway for donations, and a hosting provider. Each is contractually bound to process data only on our instructions.

We disclose data to authorities only where legally compelled, and we will notify you unless prohibited from doing so.

6. How long we keep it

Profile data is retained for as long as your account is active. When you close your account, we delete your profile within 30 days.

Donation records are retained for eight years to meet statutory accounting and tax requirements. These records are held separately and are not linked to your directory profile after deletion.

Invitation email addresses that are never accepted are deleted after 90 days.

7. Your rights

You can ask us, at any time, to:

• Show you everything we hold about you
• Correct anything that is wrong
• Export your data in a machine-readable format
• Delete your account and associated personal data
• Stop sending you the newsletter or any non-essential email

8. Security

Data is encrypted in transit and at rest. Passwords are hashed with a modern, salted algorithm and are never stored or transmitted in plain text.

Access to production data is restricted to a small number of staff, requires multi-factor authentication, and is logged.

If a breach occurs that is likely to affect your rights, we will notify you and the relevant authority within 72 hours of becoming aware of it.

9. Cookies

We use a session cookie to keep you signed in and a preference cookie to remember your settings. Both are strictly necessary and cannot be disabled while using an account.

We use privacy-respecting, aggregate analytics that do not set advertising cookies and do not track you across other websites.
